The Brandman Centers for Senior Care (BCSC), a Program of All-inclusive Care for the Elderly (PACE), provides high-quality, comprehensive healthcare services. We are a program of Los Angeles Jewish Health, renowned for providing quality care to vulnerable seniors.

As the Clinic Scheduler, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties. 

Clinic Scheduler Functions/Responsibilities:

  • Based on received orders for outside trips, make calls to doctors’ offices, hospitals, etc. to schedule required procedures.
  • Answer phones in the clinic and triage calls as appropriate.
  • Confirm with MD of any procedures requested by specialist for approval.
  • Coordinate with Center Coordinator and Transportation Manger to determine CNA/PCA travel aide and driver availability.
  • Prepare and distribute appointment notices to Center Coordinator and staff at SNF/RCFE. Enter all appointments into the clinic Outlook calendar and file in clinic appointment folder.
  • Receive all notes from consultants and distribute appropriately.
  • Notify participant and/or designated family of appointment and provide appt. card.
  • Notify MA/participants of surgery instructions for upcoming trips.
  • Notify MAs to schedule History & Physicals in preparation for scheduled hospital admissions.
  • Notify RN of any lab work/ X-Ray needed in preparation of appointment.
  • Notify transportation of all appointments, confirm transportation for all appointments and notify participants.
  • Copy participant records for outside trips – face sheet, appropriate specialist progress notes, H & P, consultations, Medicare card copy, recent labs and progress notes, recent orders, (EKG results, ECCOS, if app), med. sheets, send blank order sheet and progress notes.
  • Ensure that the Request for Consultation form and Physician progress notes are completed and received post appointment. Check for any follow-up appointments to be scheduled and provide MA with a copy of all returned forms.
  • Assure that the maximum number of participants and no more are sent to an outside doctor’s office,
  • Shift, rearrange, or cancel appointments as required. Reschedule cancelled appointments as soon as possible and notify participants, designated family members, and appropriate staff.
  • Support home care by scheduling with agencies for participant Home Care needs. 

Education and Experience:

  • Degree and diplomas: Must possess an Associate's Degree from college or a Medical Assistant Certificate from a certified private school.
  • Experience: Experience working with the frail elderly preferred.
  • Skills/Aptitudes: Bilingual Spanish.
