The responsibilities of the Administrative Assistant include, but are not limited to: 

Responsibilities:

  • Provide assistance to the Executive Director and/or the Clinical Director of Patient Care Services, while maintaining the confidentiality of all sensitive information.
  • Maintain files, order supplies, and keep the office organized.
  • Handle all correspondence and word processing for the Hospice organization.
  • Take minutes during meetings and maintain records.
  • Answer telephone inquiries and direct them to the appropriate person.
  • Maintain administrative and clerical files.
  • File clinical notes after they have been recorded on the "Weekly Ledger" sheet.
  • Ensure all doctors' order forms and related documents are up to date and in compliance with Medicare and Medicaid regulations. Update patient files with current forms.
  • Keep Medicare and Medicaid manuals up to date at all times.
  • Send doctors' orders to physicians for signatures, keeping a current log to ensure all forms are returned with signatures.
  • Purchase and maintain an adequate supply of postage.
  • Close out a patient’s clinical record upon discharge.
  • Maintain up-to-date patient statistics using the Management Information System.
  • Maintain ledger cards for all new patients admitted for clerical use.
  • Perform other duties as assigned by the Director.

Experience and Skills:

  • Must possess a high school diploma or equivalent, and/or have graduated from a one- or two-year business college.
  • Minimum of two years of administrative assistant experience, preferably in hospice or healthcare.
  • Must be able to read, write, speak, and understand English.
  • Able to type 50 words per minute.
  • Proficient in using general office equipment.
  • Excellent computer skills.
  • Knowledge of medical terminology.
